The short-term rental tech stack for self-managing hosts
A self-managed short-term rental runs on seven pieces: channels, booking software, a pricing tool, a smart lock, guest messaging with a guidebook, a cleaner app, and the listing itself. Build them in that order, and watch for the few connections that quietly break each other.
The seven pieces
- Channels. Where guests find you: Airbnb first, then Vrbo, Booking.com and a direct booking page if you want them. Rates and availability need to stay in sync across all of them, so a night can only sell once.
- Booking software (a PMS). The hub. Reservations, messages, codes and cleanings run from one place. We usually set up Hospitable or OwnerRez. Read the Hospitable and OwnerRez pages for what connecting Airbnb involves in each.
- A pricing tool. Recommends a nightly rate for every date. We cover PriceLabs in its own setup guide.
- A smart lock. Each guest gets a code for their stay, and it expires on its own.
- Guest messaging and a guidebook. Booking confirmation, check-in details, mid-stay and checkout messages, scheduled once and sent automatically.
- A cleaner app and turnover schedule. Each checkout creates a cleaning job for your cleaner without you texting anyone. We usually use Turno.
- The listing itself. Title, description, photo order, amenities and rules. See the Airbnb setup checklist.
The order to build it in
- Build the Airbnb listing and get your co-host access sorted.
- Choose and connect the booking software.
- Connect the pricing tool to the software.
- Add the other channels you want.
- Connect the lock, then schedule guest messages and the guidebook.
- Set up the cleaner app last, once reservations are flowing in.
The software comes early because everything else hangs off reservations: messages, codes and cleanings all run from it.
Mistakes that cost money
These come straight from the vendors' own help pages.
- Two tools fighting over price. PriceLabs says to turn off Airbnb's Smart Pricing, because it can conflict with the prices PriceLabs sets. With Hospitable, turn off its Dynamic Pricing too.
- Connecting the pricing tool to the wrong place. If you use a PMS, PriceLabs says to connect it to the PMS, not directly to Airbnb.
- Connecting a PMS before the calendar is ready. OwnerRez says connecting replaces your Airbnb calendar, so bookings and blocks must be in OwnerRez first.
- Creating a duplicate listing. OwnerRez warns that importing an existing listing and then creating a new connection can duplicate it.
- A co-host without the owner connected. Hospitable says it cannot change the Airbnb calendar or edit listing details unless the owner's account is connected too.
- Two PMSs on one Airbnb account. OwnerRez becomes the exclusive PMS for the account it connects, and Hospitable allows one Airbnb account to connect to only one Hospitable account.
Who pays for what
You do, directly. Booking software, pricing tool, cleaner app, lock app, guidebook and direct booking site each bill you at their own rates, and some booking software charges extra for features like a direct site, lock control or a guidebook. Our fee covers the setup work only: Essentials $1,500, Complete $2,500, per property. See pricing.
Questions people ask
What do I need to run a short-term rental on my own?
A listing on at least one channel, booking software that connects them, a pricing tool, a way to get guests in, a plan for messages, and a cleaner with a schedule. The sections above cover each.
Do I need all seven pieces on day one?
Not all at once, but the order matters. Listing, software and pricing come first. The lock, messages and cleaner app are easier to set up once reservations are flowing.
Which booking software should I pick?
We usually set up Hospitable or OwnerRez, depending on your channels and how many properties you have. If you already use something else, tell us and we will talk it through.
Can you set the whole stack up for me?
Yes, that is the service. We set up the listing, software, channels, pricing connection, lock, messages, guidebook and cleaner app, then hand it over.
