Listing intake

Tell us about the place.

We've never stood in your house. This form is how we learn it, so the listing is right the first time. Plan on 25 to 40 minutes. Your answers save on this device as you go, so you can stop and come back.

Every question needs an answer. If something doesn't apply, tap N/A next to it or pick "None of these". Short answers are fine. Blanks are not, because each one turns into a follow-up email and a later launch.

You and the address

Add your name.
Add an email we can reach you at.
Add a phone number.
We need the address to check local rules and comps.
Five digits.
Florida taxes short-term stays at the state and county level, so we need both.
Where are you now?
We keep your reviews. A listing with reviews is worth far more than a new one.
Short-term rental permit or license
Many cities require it on the listing. Include the Florida DBPR license and the county tax account if you have them.
Is the property in an HOA or condo association?
Does the HOA allow short-term rentals?
Most setups take 7 to 14 days after this form, and longer if a permit or photographer is still pending.

The basics

What guests book

0 means a studio. The next step asks about each bedroom.
Toilet, sink and a shower or tub.
Toilet and sink only.
Does your city, county or HOA cap how many guests you can host?
Some cities set a minimum. We check yours before we set this.
Two nights keeps cleaning costs down without losing weekend trips.

Bedrooms and beds

Every bed, room by room. Booking sites show this as the sleeping arrangement, and guests check it closely.

Anywhere else people sleep? Living room sofa bed, loft, bunk room

The space

Plain notes are fine. We turn them into the listing.

Give us three things. The first one usually becomes the headline.
Who is it best for? Pick all that apply
Steps from the parking spot to the front door
Stairs inside the home?
What are they like?
Is there a bedroom and full bath on the entry level?
Potential for noise Airbnb asks hosts to disclose this
Water on or near the property
Is there a fence or barrier between the house and the water?
Wildlife guests should know about?
Does anyone else use part of the property during a stay?
If there's truly nothing, write "Nothing". Saying it up front prevents bad reviews.

Amenities

Check everything the place has today. Each checked item opens a few short questions, because the details are what booking sites show and guests filter on.

Safety and devices

Booking sites show these to guests, and several are required by law or by the platform.

Smoke alarms

Are there working smoke alarms?
Where?
We can't list it yet. Florida code and every booking site expect working smoke alarms. A 10-year sealed alarm is about $25 each. Put one in each bedroom, one outside the bedrooms and one on every floor.

Carbon monoxide alarms

Are there CO alarms?

Fire extinguisher and first aid

Don't have one? Tap N/A and we'll add it to your shopping list.
These go in the cleaner notes and the guidebook so a leak at 2 a.m. is a five-minute fix.

Disclosures booking sites require

Weapons on the property?
Pets live on the property?
Heights without rails, such as a loft or roof deck?
Climbing or play structure?

Cameras and recording devices

Any cameras on the property, including a video doorbell?

Noise monitor

Is there a noise monitor?
Where are they?
These measure decibels only and don't record audio. They still have to be disclosed, and we write that disclosure for you.

Neighborhood

This feeds the listing and the guidebook. Your favorites beat anything we can look up.

House rules

Gives one cleaner a six-hour window for same-day turnovers.
Matches most city noise ordinances and what neighbors expect.
Pets
Smoking and vaping
Events and gatherings
Commercial photography or filming
We set this wherever each booking site allows it.

Pricing and policies

Rough numbers are fine. We set the real ones after we pull comps, and we'll show you why.

No cleaner yet? Tap N/A and we'll quote it.
Discounts Each one you pick asks for a percentage
$50 to $100 a stay is typical here.
Extra guest fee
Security deposit
Airbnb doesn't collect deposits. Vrbo and the direct page can.

Cancellation policy

Offer a non-refundable rate on Airbnb, about 10% cheaper?
Firm protects peak weekends that are hard to rebook. The non-refundable rate wins price-shoppers without loosening the policy.

Tech, entry and Wi-Fi

Tell us what you already have. If you have nothing yet, that's the normal starting point.

For one to a few places we usually set up Hospitable or OwnerRez.

Entry

How do guests get in?

Backup entry

If the lock battery dies or the Wi-Fi drops, how does a guest or the cleaner still get in?

Used only by us during setup. We share them with your cleaner only if you tell us to. Not saved on this device.
Change it after we hand over if you like.

Wi-Fi

Run fast.com from the living room. Airbnb shows the speed on the listing.
Use the guest network if you have one. The password goes in the guidebook and isn't saved on this device.

Photos

Where do photos stand?
Set the folder to "anyone with the link can view".
Is the place fully furnished and staged?

Access and handoff

After you send this, your account page lists each app to sign up for, with a link. You invite us from inside each app that allows it, and you can remove us any time. For apps that only allow one user, there's a secure login box on your account page. We never need your bank or email password.
